Steps For Stress-Free Wedding Planning

Okay let’s dive in. He’s asked, you said yes…or he hasn’t popped the question just yet but you want to be prepared before he does. Who are we even kidding? Wedding planning begins way before you even say yes anyways.

As a wedding photographer, I’ve had the privilege of capturing countless love stories unfold. Now, it’s time to help you navigate the exciting journey of wedding planning. No need to fret or feel overwhelmed—I’m here to simplify the process for you. I’ll break down the essential steps of wedding planning, ensuring that you embark on this adventure with ease and confidence. So, grab a pen and let’s start mapping out your picture-perfect day! Step 1: Setting the Date and Budget

First things first: choose the wedding date that holds special meaning for you as a couple. Consider the season, availability of your loved ones, and any significant anniversaries. Is Spring your thing with all the pinks, blues, and yellows? …or are you more of an earthy toned, crimson and burnt orange kind of couple? Contrary to eloping, your date is probably going to be set before anything else is complete. Check with your *ideal* vendors first as well to make sure your date matches their availability.

Once the date is set, it’s time to tackle the budget. Determine how much you’re comfortable spending and allocate funds to each aspect of the wedding, such as venue, catering, photography (wink, wink!), and more. Remember, a well-planned budget will keep you on track and prevent any financial surprises down the road. Don’t let FOMO have you eating ramen and toast for the next year. You can have the wedding of your dreams and still save all of your arms and legs!

Step 2: Crafting Your Vision

Now comes the fun part—imagining your dream wedding! Close your eyes and envision the atmosphere, theme, and overall vibe you desire. Browse wedding blogs, Pinterest, and magazines for inspiration. Create a vision board or a digital folder to collect your favorite ideas and elements. By defining your wedding vision, you’ll have a clear direction for the rest of the planning process. Be flexible yet realistic with these ideas though. Ask yourself how much you are willing to DIY or are you wanting it to be done for you? This also goes hand-in-hand with crafting your budget as well.

Step 3: Finding the Perfect Venue

Your wedding venue sets the stage for your love story. Consider venues that align with your vision and accommodate your guest count comfortably. Reach out to potential venues, schedule tours, and ask about availability and pricing. Remember to take notes, ask about included services, and factor in any additional costs, such as decor, rentals, or permits. Once you find “the one,” it’s time to secure your booking and celebrate!

From a photographer’s point of view: a perfect wedding venue will have lots of natural lighting meaning the outside light will offer lots of glow. The space in which the Bride and Groom get ready are also equally as important for portraits early in the day. Nobody wants to be squeezed in the linen closet while they are tying ties and taking photos. Ask about back up plans and what the venue does in case of inclement weather or rain. Be aware that sometimes ceremonies do and have taken place inside of venues….and if it’s typically an outside venue, you want to make sure it will still be super pretty for portraits.

Step 4: Assembling Your Dream Team

A successful wedding relies on the collaboration of talented professionals. Start by hiring a wedding planner if you desire extra support. Next, find the perfect vendors, such as caterers, florists, musicians, and of course, a skilled photographer (that’s me!). Research, read reviews, and meet with potential vendors to ensure they align with your vision and style. Building a trustworthy and reliable team will alleviate stress and guarantee a seamless wedding day.

From a photographer’s POV: having vendors that are easy to work with will allow your wedding day to run smoothly. Make sure to reach out to others and read those reviews. Allocate your budget towards the things that you value most….I may be biased but think about it. At the end of the day…what is left from your wedding day? A dress that may or may not sit in the closet forever, a last name change, and photographs. Make sure you absolutely love your photographer. They will be with you from start to finish, even more so than your spouse come wedding day.

Step 5: Invitations, Guests, RSVP’s

Let’s not forget your nearest and dearest! Compile your guest list and gather addresses. Design or order your invitations to reflect your wedding theme and personality. Consider digital RSVP options to make the process more convenient for your guests. Remember to track RSVPs and provide a final guest count to your venue and caterer within their designated timeline. Typically, from experience, most couples can count on about half of the invited list to come celebrate.

From a photographer’s POV: Invitations typically go out about 6 weeks before the ceremony day. Save-the-dates can be mailed about 6 months before then as well. Although it’s not mandatory to do any of this, it’s just what some brides opt to do. These are perfect opportunities to show off your engagement sessions and portraits to your guest and family…. even if some of them cannot make it. Sound like a deal? Let’s get you scheduled.

Now it’s time to dive into the delightful details! Select your wedding attire, including the dress, suits, and accessories. Decide on the decor elements, such as centerpieces, lighting, and signage.
